Delegation — hand your work to a colleague while you're away

Going on leave? Delegation lets a colleague act on your behalf — approve your requests, handle your workflow items, even sign for you — for a period you choose, on the services you choose. This is a photo walkthrough of the whole thing, from setting it up to the colleague accepting it.

The idea in one line. You give → they accept → they act “on behalf of” you → it ends automatically (or you revoke it). Nothing is silent: the colleague must agree, every action names the real person, and you can pull it back any time.

What delegation is — and is not

It IS

Permission for a colleague to act on the items assigned to you — your DWMail approvals, your WorkFlow requests — using their own account, marked “on behalf of you”, for a fixed time.

It is NOT

Access to your personal mailbox or chats. Delegating a conversation would be impersonation — so chat is deliberately excluded. Team mail continuity comes from department shared inboxes instead (see the Mail Pipeline guide).

It is platform-wide from one place: a single delegation, managed inside DWMail’s settings, can cover several services at once. Each service then honours it on its own screens.

Part A — Give a delegation (the person going away)

Step 1 · Open Settings → Delegation (التفويض)

In DWMail, open Settings (the gear) and choose التفويض (Delegation) from the side menu — it sits just under Rules. The page has two halves: تفويضاتي (منحتها) — delegations you granted — and, lower down, مفوَّض إليّ (استلمتها) — delegations granted to you.

Each row shows the colleague, coloured service badges (البريد = Mail, سير العمل = WorkFlow…), a يشمل التوقيع (“includes signing”) badge when signing is allowed, the status (بانتظار القبول = awaiting acceptance), the date range, your note, and an إلغاء التفويض (revoke) button.

Step 2 · Click «تفويض جديد» (New delegation) and fill it in

One short form captures everything:

New delegation dialog
The New-delegation dialog. Person, scope, services, the signing opt-in, the start/end window and a note. Press حفظ (Save) and it’s created as pending — it does nothing until the colleague accepts.
Guard-rails: you can’t delegate to yourself, you can’t create two overlapping delegations to the same person, and every service name is validated. If you pick a period that’s already passed, it’s refused.

Part B — Accept a delegation (the colleague covering)

Nothing becomes active until the colleague agrees. They open the same page and look at the lower half — مفوَّض إليّ (استلمتها), “delegated to me”:

The received side. The colleague sees who delegated to them, the service badges, the period and the note — and two buttons: قبول (Accept) or رفض (Decline). Until they press Accept it stays بانتظار القبول and grants nothing.

The moment they press قبول (Accept), the delegation becomes active (a green “active now” mark). From then until the end time, your assigned approvals and workflow items appear for them too.

Part C — Acting on behalf, and signing

Why it’s safe. The colleague always acts as themselves, marked on-behalf; the audit trail can never be confused about who really did what — which is exactly what an auditor or a court would need years later.

Part D — Ending it

And if there was no delegation? The admin safety valve

Delegation covers planned absences. For a sudden one — someone in hospital with an approval stuck on their name and no delegation in place — an administrator can open the pending-approvals console and reassign that approval to someone else, or cancel it. So work is never permanently stuck. (More in the Mail Pipeline guide and the capability table in Email §12.)
